Organization Description 

Women in Film & Television – Toronto (WIFT+ Toronto) is a member-based, not-for-profit organization. We are passionate individuals who are dedicated to the education, engagement, and empowerment of our members at all stages of their careers working in the screen-based media industry. Job Description 

As our newly created Director of Operations, you will play a pivotal role in shaping how our organization operates as we continue to grow. Reporting to the Executive Director and working alongside a close-knit team of six, you will help strengthen internal operations, support strategic initiatives, and build the systems, processes, and partnerships that enable our team to deliver exceptional programs and services to our members.  

You will help drive the organization’s operational excellence by overseeing core business operations and administrative functions. Working collaboratively with the Executive Director, staff, Board members, sponsors, donors, and industry partners, you will build strong relationships, streamline processes, and help create the foundation that enables WIFT+ Toronto to expand its impact, strengthen member engagement, and advance innovative programs and initiatives that support women+ and gender-diverse professionals across the screen-based industry. 

The ideal candidate is a highly organized, collaborative, and proactive professional who is passionate about supporting a nonprofit organization within the screen-based industry.  

Key Areas of Responsibilities 

  • Operations & Administration 
  • Oversee the day-to-day operations of WIFT+ Toronto and the Foundation, ensuring efficient and effective administrative processes, facilities management, and the smooth functioning of the office 
  • Manage organizational vendors, service providers, and operational systems – including IT, insurance, hardware, software, etc. to support business continuity and operational excellence 
  • Human Resources 
  • Support the Executive Director with Human Resources including job postings, contracts, hiring, on/off boarding, benefits, and the ongoing maintenance of the organization’s policies and procedures manual (employee handbook) 
  • Monitor, update and implement Human Resources policies and procedures to ensure compliance with regulations 
  • Manage the Executive Director’s strategic priorities and annual workplan 
  • Staff representative for the HR Committee 
  • Finance & Compliance 
  • Collaborate with the Executive Director to prepare annual audits, ensuring all governance filings are up to date 
  • Strategic Initiatives 
  • Assist with strategic planning and implementation 
  • Coordinate work across departments an identify roadblocks before they become issues 
  • Organizational Support 
  • Collaboration with the Executive Director and Director of Programming on public sector grant application planning, preparation, and reporting 
  • Track organizational priorities and ensuring accountability for deliverables 
  • Aid Executive Director with sponsorship contracts & marketing  
  • Facilitate WIFT+ Toronto and the Foundation’s events, outreach, programming & mentorships initiatives as needed 

 Qualifications 

  • Minimum of 5+ years in a comparable role at a nonprofit, foundation or arts institution 
  • Demonstrated experience developing and managing operating and project budgets, and working knowledge of nonprofit financial management, budgeting, and financial reporting 
  • Excellent oral and written communication skills, including effective presentation skills 
  • Well-developed strategic and analytical skills with the ability to deploy resources effectively 
  • Highly developed interpersonal skills and the demonstrated ability to cultivate respectful relationships with a variety of stakeholders 
  • Experience using Microsoft 365 and organizational systems such as CRM platforms, event management software, survey tools, board management software, and email marketing platforms 
  • Supervisory experience and demonstrated leadership with the ability to lead, mentor, motivate, and support staff and volunteers 
  • Excellent organizational and time management skills, with the ability to prioritize multiple projects while maintaining a high level of accuracy and attention to detail. 
  • A passion for working in the screen-based media industry 

Assets 

  • Successful track record with funding applications and securing corporate sponsorship 
  • Experience implementing a fundraising program and the ability to build a culture of philanthropy 
  • Knowledge of, and experience in, the Canadian screen-based media industry 
  • Knowledge of marketing, and communication strategies 

This role is well suited to someone who has worked as Chief of Staff, Director of Operations, Executive Operations Lead, or Senior Program Manager supporting executive leadership.
