Then join WIFT+ Toronto as our Program & Special Events Coordinator. The Program & Special Events Coordinator will provide administrative support for our professional development and networking programs including the speaker series, courses, and mentorships. They will also be responsible for supplying administrative support for our annual high-profile events: the Annual General Meeting (Spring); WIFT+ Toronto Showcase (Spring); Reception@TIFF (Fall); and the Crystal Awards Luncheon Gala (Winter). They will also be the lead on our annual online auction that runs for one week during TIFF (September).
Key Responsibilities
- Assist Director of Programming with all program logistics and administration including scheduling, contracts, and content materials management
- Liaise with program participants and program speakers and create and disseminate content materials for programming initiatives
- Create online program registration for programs and events
- Create and manage program and special event critical paths
- Coordinate and oversee program and event volunteers
- Assist with the coordination of our annual events as noted above including event logistics, working with external partners, sponsors and suppliers, managing guest and registration lists, etc.
Qualifications
- Excellent time-management, multi-tasking, and organizational skills
- A minimum of 2 years of special event coordinating experience, preferably in the arts
- Excellent verbal and written communication skills
- Ability to prioritize successfully and thrive in a fast-paced environment
- Strong problem-solving and troubleshooting skills
- Proficient with Microsoft Office, especially Excel, on a PC platform
- Must be able to work occasional evenings, early mornings and weekends
Assets
- Knowledge of and passion for the Canadian screen-based media industry
- Experience working in a nonprofit organization
- Experience or knowledge of working with Eventbrite, CanadaHelps, Bidding Owl (fundraising software)
- SmartServe certified
- An interest in WIFT+ Toronto’s mandate
